Once you have been accepted, there are a number of preparations you need to complete. Here you can find information on what you need to consider.

Nomination and application

After you have been awarded an exchange seat, your International Coordinator will nominate you to the partner university.

Once the nomination has been completed, the partner university will contact you with information about how to submit your application. You will receive instructions regarding the application process as well as other relevant information, such as course selection, visa requirements (for studies outside Europe), and other practical preparations for your exchange.

The timing of the nomination and application process depends on the deadlines set by the partner university and may therefore vary between institutions. In general, nominations for autumn semester exchanges take place during the spring semester, while nominations for spring semester exchanges take place during the autumn semester.

You will receive information by email about which documents need to be completed and when they should be submitted. There is some administrative work involved in preparing for your exchange, so it is important that you familiarize yourself with the process and take responsibility to ensure nothing is missed.

For students going on an exchange within Europe – the Erasmus+ program

  • Read the Erasmus+ exchange checklist carefully.

  • Complete a Study Plan with the courses you plan to take and email it to your director of studies. A template for the Study Plan can be found under “Forms and Manuals.”

  • Once your Study Plan has been approved by the academic secretary, fill in your Online Learning Agreement (OLA) in the MoveOn portal. A guide for completing the OLA is also available under “Forms and Manuals.” ISCED codes can be found in the Search Portal.

  • Submit the Arrival and Departure form when you arrive at and leave the partner university.

For students going outside Europe – the Global Exchange program 

  • Study plan: Fill in the document with the courses you plan to take and send it by email to the director of studies. 

  • Agreement form (agreement between Chalmers and students admitted to an exchange programme).

Forms and manuals

Visas

For many destinations outside the EU/EEA, you will need to apply for a visa before departure. In most cases, your host university will provide practical information about the application process and which documents are required. Make sure to follow their instructions carefully and begin the application process as soon as possible after you have received your admission decision.

EU citizens usually do not need a visa for studies within the EU. However, some countries outside Europe, such as the United Kingdom, do require a visa.

In most cases, you cannot apply for a visa until you have received your official admission letter from the host university. For updated requirements and detailed information, please contact the embassy or relevant authority of your destination country. Keep in mind that visa processing times can be long, sometimes several weeks or more. If you plan to travel before the start of the semester, it is important to begin the process well in advance.

If you are not an EU citizen, different regulations may apply, even for studies within the EU. In that case, please contact Swedish Migration Agency for information relevant to your situation.

Travel Safely – Preparing for Your Exchange

Before going abroad, it is important to prepare for both practical and safety-related matters. By planning ahead, staying informed about the situation in your destination country, and knowing where to turn if you need help, you can reduce risks during your exchange. Here you will find information and advice on topics such as safety, health, insurance, and other important considerations before and during your exchange.

Funding your exchange studies

As an exchange student at Chalmers, you do not pay tuition fees to the host university during your exchange. You may also be eligible for student finance from CSN, provided that you meet the requirements. In addition, there are scholarships and other funding opportunities available through Chalmers and external organizations.

Tuition Fees at Chalmers

If you are a tuition-fee-paying student at Chalmers, you must continue to pay your tuition fees to Chalmers during your exchange period.

Student grants and loans from CSN

You can apply for student finance from CSN for your exchange studies. When applying, indicate that you will be studying abroad and provide the start and end dates of your exchange period.

If your exchange takes place during the autumn semester, we recommend that you also apply for student finance for the following spring semester. Otherwise, there is a risk that you may not receive student finance upon your return to Chalmers until your exchange studies have been transferred and registered in Ladok.

You can apply for student finance for studies abroad through the CSN website. Any questions regarding student finance should be directed to CSN. Scholarships from Erasmus+ or Chalmers are not considered income when applying for CSN funding.

Global Exchange Scholarship

Students participating in an exchange outside Europe through the Global Exchange programme receive a scholarship from Chalmers. The scholarship amounts to SEK 25,000 for one semester and SEK 50,000 for a full academic year. The annual amount applies from the spring semester of 2026.

Exchange Studies in Switzerland

Students participating in an exchange at ETH Zurich or EPFL Lausanne are eligible for an Erasmus+ scholarship. Students attending other partner universities in Switzerland are instead eligible for the Global Exchange Scholarship. More information will be provided by your International Coordinator after you have been admitted to the exchange programme.

Erasmus+ Grant for Exchange Studies in Europe

Students undertaking exchange studies in Europe through Erasmus+ may receive a grant from the Erasmus+ programme. To be eligible for the grant, all required documents must be correctly completed and submitted on time. The grant amount varies depending on the destination and the rates set for the current academic year by Erasmus+.

Asia Magazine for exchange students in Asia

f you are completing your exchange studies in Asia, you are expected to contribute an article to Asia Magazine, a digital and print publication managed by the Chalmers International Taiwan Office (CITO) at Yang Ming Chiao Tung University in Taiwan.

Students undertaking their exchange at Yang Ming Chiao Tung University are also expected to take an active role in the production of the magazine. Before your exchange, CITO will contact you with further information about how to contribute to Asia Magazine and what is expected of you.

Support for students with disabilities

If you have a disability, you can receive support during your exchange. 

  • Certificate of support: Contact the Coordinator for Educational Support at Chalmers. The coordinator can issue a certificate describing the support you currently receive at Chalmers. You should send this certificate to your host university to ensure you receive the appropriate support during your exchange.
  • Responsibility for personal support: You are responsible for arranging any additional support you may need, such as assistance, transportation, physiotherapy, psychological support, wheelchair, or a personal computer with adapted software.
